FEATURE • TASK & VISIT MANAGEMENT

Assign tasks in the morning. See completion reports by evening.

Standardised task and visit management for field teams — with GPS-verified completion, photo proof, and real-time status updates. Replace WhatsApp groups, Excel trackers, and “I’ll send the report tonight” with a single app your whole team actually uses.

The Problem

Your task management system is a WhatsApp group. And it shows.

Morning: manager assigns tasks to 12 field reps via WhatsApp. By 11 AM, chaos.

One rep is asking which task had priority, another lost the message in the group chat, a third is assuming the task was meant for someone else. By 2 PM, the manager has sent 40 follow-up messages: "Did you visit the client?", "Send the photo", "What's the update on task 3?"

By evening, the manager is decoding voice notes and piecing together what actually happened.

By end of week, half the tasks have no record of completion and the other half have unclear status. This isn't a WhatsApp problem — it's a missing-tool problem. Field task management needs structure: clear assignment, clear status, clear completion proof, and clear reporting.

How It Works

Three steps. One app. Zero confusion.

From morning assignment to evening completion report — without a single WhatsApp message.

Assign tasks to your team

The manager opens MyFieldHeroes, picks a field rep, and assigns tasks for the day — each with a name, description, location, priority, and deadline. Assignments push to each rep's phone instantly. No WhatsApp, no phone calls, no confusion about who's doing what.

Field reps execute and log completion

Each field rep sees their task list in priority order with directions. When they arrive, they hit "Start Task", complete the work, capture photo proof, add notes, and mark complete. The GPS-verified check-in, photo, timestamp, and notes get attached automatically. The manager sees status change in real time.

Completion reports ready automatically

By end of day, every assigned task has a clear status — completed with proof, in progress, or pending — and every completed task has a full activity log attached. The manager doesn't chase anyone or compile a report. They open the dashboard, see today's summary, and move on.

We built one task structure. On purpose.

A lot of field management software offers “fully customisable task types” — custom fields, custom forms, custom workflows for every team. It sounds flexible. In practice, it’s a setup nightmare. Someone has to design every task type. Someone has to train every new rep on which form to use when. Teams spend two weeks configuring the software instead of using it.

We went the other direction. MyFieldHeroes has a single, well-designed task structure that covers 95% of field work every team actually does: task name, description, location, priority, deadline, photo proof, notes, and completion status. Simple enough to learn in two minutes. Consistent across every team member.

Field reps trained in 15 minutes. Zero-setup task management. The "flexibility" most vendors charge extra for wasn't worth the setup cost — so we took it out.

What task and visit management needs to do.

Task assignment with priority and deadlines

Managers assign tasks per field rep with clear priority (high/medium/low), deadlines (due by end of day / specific time), and location. Tasks push to the rep's phone instantly.

Location-linked tasks

Every task can be linked to a location — a retailer, clinic, client office, or specific address. Field reps get directions in one tap. Task completion is GPS-verified, so "visited" means actually visited.

Photo proof on completion

Tasks can require photo proof of completion — shop signage, installation photo, delivered sample, client signature. The photo is auto-captured, timestamped, GPS-tagged, and attached to the task record.

Real-time status updates

Task status updates flow to the manager's dashboard in real time. Assigned → In Progress → Completed. No waiting for end-of-day reports. No WhatsApp status requests ever again.

Visit logging and notes

Every visit is logged with start time, end time, duration, location, and optional notes. Field reps can add text notes or voice memos if their hands are full. Full visit history is searchable by rep, date, or location.

Full offline task execution

Tasks assigned in the morning are available even if the rep enters a zero-signal area mid-day. Completion, photos, and notes — all stored on the device and auto-synced when signal returns.

Built for the daily call reports pharma teams can't live without.

For pharma field teams specifically, MyFieldHeroes’ task management doubles as a Daily Call Report (DCR) system. Every doctor visit gets logged as a task with the doctor’s name (pre-loaded from your doctor master), the clinic location (auto-verified by GPS), the products discussed, and any doctor feedback or follow-up notes.

The DCR is auto-generated from this data — no separate DCR form to fill out in the evening, no Thursday-night paperwork marathon, no handwritten reports for ABMs to decode. The DCR is filed in real time, as the visit happens. DCRs stop being a weekly fight and start being a by-product of how MRs already work.

How different teams use task management

DCRs filed at the clinic, not at 11 PM

Pharma — Doctor visits and DCRs

Every MR’s daily doctor visit list becomes a task queue with priority and clinic location. Completion auto-generates the DCR. ABMs see real-time doctor coverage by 5 PM instead of compiled reports on Monday morning.

Assign daily service call lists and installation beats to technicians. Track which addresses were covered, which were missed, and which jobs took longer than expected. Dispatchers see adherence live and can reassign when something’s running late.

SLAs measurable for the first time

Cable Operators — Service calls and installations

Dispatchers assign service calls and installations as tasks with customer addresses and job priorities. Technicians see their queue, navigate to each job, capture completion photos, and log any issues. Every task has timestamped data.

Questions people ask before Signing Up.

How is MyFieldHeroes different from Bizom, Lystloc, or TrackoField?

First, pricing — we’re ₹149/user/month, which is the lowest published rate in the Indian field
force software market. Second, offline mode — we were built offline-first, so the app keeps
working in rural zones, warehouse basements, and low-signal buildings where others silently
fail. Third, we’re built specifically for Indian field realities, not Western office teams adapted for
India.

Does MyFieldHeroes really work without internet?

Yes — and this is not a gimmick. Every check-in, visit log, attendance mark, expense submission, and DSR is stored locally on the
field executive’s phone. The moment the phone gets signal — even for a few seconds —
everything auto-syncs to the cloud. Your team doesn’t wait, and you don’t lose data.

What industries do you serve?

MyFieldHeroes currently powers field teams across
pharma distribution, FMCG, cable operator networks, and multi-location clinics. The core
platform works for any industry where teams spend their day outside the office — including
logistics, construction, BFSI collections, and facility management.

How long does setup take?

Most teams are fully live within 48 hours. We handle the
initial configuration, add your employees, and train your managers in a single 45-minute session.
Field reps just install the app, take a selfie for facial-recognition enrollment, and they’re ready to

Is there a free trial?

Yes. You can start a 14-day free trial, no credit card required. Or you
can book a free demo and we’ll walk you through the platform live — usually a better fit if you
have a team of more than 10 and want to see it working with your actual workflow

Is my data safe? Where is it stored?

Your data is stored on secure servers within India and
protected under the DPDP Act 2023. We don’t sell data, we don’t share it with third parties, and
you own all your field activity records. MyFieldHeroes is built on enterprise security standards
inherited from our parent company, PiTangent.
